Purpose of the position: As a Visa and Travel Officer, you will be responsible for managing and coordinating visa and travel for all expats.

How can you support us?

  • Booking of all accommodation for expats arriving in Australia and departing Australia after their Swing/rotation;

  • Assisting with any transfers for expats from Perth airport to hotel and hotel back to airport;

  • Liaising with internationals departments for expats arrival dates and providing details to manning agent making sure they book correct flights from Perth to site and have correct helo allocations and be available for after-hour emergencies;

  • Receiving and reviewing rosters for all Saipem crew;

  • Coordinating Visa process for offshore personnel and office personnel between visa agent and global employers;

  • Ensure the fulfilment and approval of travel in Falcon;

  • Manage the self booking Travel system from end to finish;

  • Assist employees with the self booking travel system when the encounter errors or are unable to book their travel;

  • Issuance of SEs for travel and visa and related expenses;

  • Managing travel and visa invoices;

  • Liaising with internal support functions as per project requirements and assisting with external stakeholder queries;

  • Assisting with mobilization of expat crew sailing to Australia, visa requirements, compliance, liaising with role company offices;

  • Assisting with mobilisation/demobilisation of crew;

  • Administrative support with the crew departments;

  • Adhoc tasks as required.

What are we looking for?

Education: Bachelor/Diploma in Human Resources Management

Background: 4+ years of experience in a similar role

Technical Knowledge: Experience working in a project environment, Strong Microsoft Office skills and the ability to learn new systems and tools, SAP knowledge- creation, processing and completion of approval workflows for work orders and service entries.

Other requirments: Excellent verbal and written communications (In English), strong attention to detail, high level of initiative, self-drive and enthusiasm to succeed and progress, good organisational skills with the ability to meet deadlines, manage expectations and coordinate priorities,Strategic thinking mindset, FLEXIBILITY- must be available for after hours emergencies
