WHO WE ARE

At IIT, we work enthusiastically to develop human-centered Science and Technology to tackle some of our times' most pressing societal challenges and transfer these technologies to the production system and society. Our Genoa headquarters are strictly linked with the other 11 centers around Italy and two outstations based in the US for a truly interdisciplinary experience.

The new Strategic Plan for 2024-2029 of IIT recognizes the need for broader synergies to focus and deploy sufficient critical mass on selected topics. To this end, the current Strategic Plan introduces five Flagship Programs. The Flagships Programs aim to attack large-scale problems which require extremely transversal skills and large collaborative teams. They are visionary large-scale collaborations across Research Units and Domains with well-defined ambitious goals. The Brain and Machine program is one of the five flagship. Its ambition is to study intelligence in artificial and natural systems: understand how the brain processes information to generate behavior, develop computational methods, specifically machine learning, to model neural and cognitive processes and develop novel methods for control of embodied systems.

JOB DESCRIPTION

As a selected candidate, you will work in close collaboration with the Brain and Machine Flagship coordinators Lorenzo Natale, Raffaella Tonini and Agnieszka Wykowska and Scientist of various IIT groups which participate in the Flagship.

You will provide essential support to the Coordinators of the Brain and Machine program by monitoring the progress of the project towards its goals, prepare scientific reports, managing administrative tasks, organizing events, communicating and disseminating the results, maintaining project documentation, and ensuring smooth communication among all stakeholders.

Key Responsibilities:

  • Meeting and Seminar Organization: Schedule and coordinate meetings and seminars, including preparation of agendas, booking venues or setting up virtual meeting platforms, and managing participant communications.
  • Deliverables Collection and Organization: Collect, track, and organize project deliverables, ensuring proper documentation and accessibility for relevant participants
  • Communication and Dissemination Events: Organize and execute communication and dissemination events, such as workshops, and conferences, to promote the Flagship's findings and objectives.
  • Web Page Curator: Timely updates for the Flagship's web page, ensuring that information is accurate, current, and effectively presented.
  • General Organization activities: Send reminders and follow-up communications to participants about deadlines, meetings, and other important events.
  • Administrative Support: Provide general administrative support, including managing correspondence, organizing reports, maintaining project files, and handling routine inquiries.
  • Manage the relation with the Founding authority

ESSENTIAL REQUIREMENTS

  • Experience in project management and execution in scientific areas
  • Experience in planning and executing communication and dissemination events
  • Proven ability to organize documentation and results (including, but not limited to, scientific output), and visualize data for written reports
  • Strong organizational and multitasking abilities
  • Outstanding communication skills
  • Excellent written and verbal communication skills in English
  • Proficiency with office software
  • High attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
  • High motivation to learn, spirit of innovation, and creativity
  • Good at time and priority management
  • Ability to work in a challenging and international environment, independently and collaboratively 

OPTIONAL QUALIFICATIONS

  • PhD in a scientific discipline
  • Experience in web page creation and maintenance
